Spot the student who is about to stop showing up
Dropout is quiet: missed lessons, a pending fee, no login for two weeks. The signals a portal gives you before the student disappears entirely.
Students rarely announce that they are leaving. They miss one class, then two, stop opening lesson videos, let a fee go pending, and by the time the teacher notices, the batch is halfway through the syllabus. The institute counts the loss at renewal — when it is already lost.
The three signals that precede dropout
- Progress that has flattened: lesson completion stuck near zero for weeks while the batch moves on.
- Absence from the portal itself: no logins, no lesson views, no live class joins — the strongest single predictor.
- Money left pending past the grace window: usually the moment the student has already decided.
None of these are secrets; they are simply invisible when your record of a student is an attendance sheet and a fee notebook. Inside a portal they are fields you can sort by.
Make the list produce itself
An at-risk view does one job: combine low progress, inactivity, and unpaid fees into a single list, ranked, for the whole institute or one teacher's batches. The question it answers is not 'who is at risk' in the abstract — it is 'who do I call today'.

Expiry and grace do some of the calling
Enrollments with a trial window and a grace period act on their own: the student is warned before access lapses, and the fee reminder fires while the seat is still technically theirs. Automation does not replace the personal call — it makes sure the personal call happens on the students where it still matters.
Institutes that watch the at-risk list weekly tend to describe the same shift: retention stops being something measured at the end of a batch and becomes a Monday-morning routine with names on it.
